Cognitify

// AGENT · AUTORESPONDER

The Receptionist. Answers your customers — and knows when not to.

// Part of Cognitify Agents.

The Receptionist greets every customer on Instagram, Messenger, WhatsApp or Telegram, answers from your own knowledge base — prices, services, booking rules — and escalates to a human the moment a conversation needs one. While it talks, it quietly records intent and contact details, so every chat can land in your CRM as a lead.

Early access · We onboard a few teams at a time · We reply within 1 business day.

Your customers don’t message you 9 to 5. They message you at 23:40, from Instagram, about tomorrow.

Every unanswered DM is a customer who went to whoever answered first. Hiring people to cover nights and weekends is expensive; generic chatbots are worse — they either know nothing or make things up with total confidence. Neither is how you want your business to sound.

The Receptionist answers only from what you gave it — your documents, your price list, your rules. When it isn’t sure, it doesn’t improvise: it checks its own answer against your knowledge, and if the ground isn’t there, it hands the conversation to a human with full context. An answering machine that knows its limits — that’s the whole point.

// what it does

Reception, around the clock.

  1. 01

    Answers from your knowledge only

    Price lists, FAQs, policies, PDFs, even scans — it answers from them and nothing else. Every answer passes a grounding check before it’s sent: if your knowledge doesn’t back it, it doesn’t go out.

  2. 02

    Handoff that actually works

    Escalation is deterministic: unclear question, upset customer, an explicit “operator, please” — the conversation lands with your team as a CRM task, full transcript attached. No customer stuck in a bot loop.

  3. 03

    Channels and shifts

    Instagram, Messenger, WhatsApp, Telegram and more. Several agents can share one channel with non-overlapping shifts — a sales agent Mon–Fri 9–18, a night-duty one after. Off-hours you choose: silence, a polite “we’re offline until 9”, or escalate the urgent ones.

  4. 04

    Every chat, a potential lead

    It records every intention, question and request, and collects contact details along the way. A qualified conversation becomes a Lead and a Person in Cognitify CRM automatically — the bot isn’t a cost center, it’s a lead channel.

// business cases

Where it earns its keep.

  1. 01

    Clinics & beauty

    • Bookings answered at 23:40 — not at opening time.
    • Prices, prep instructions and directions, from your own documents.
    • Urgent cases escalate straight to the on-duty phone.
  2. 02

    E-commerce & retail

    • “Where’s my order”, sizes, returns — answered instantly, from your policies.
    • Peak-season message floods without peak-season hiring.
    • Every conversation captured as a contact — into your CRM, deduplicated.
  3. 03

    Services & sales teams

    • A sales agent by day, a night-duty agent after hours — one channel, two shifts.
    • Qualified enquiries become CRM leads with the context attached.
    • Operator handoff with the full transcript — no “please repeat your question”.

// questions

Questions, answered.

Will it make things up?
It’s built not to. It answers only from your knowledge base, and every draft passes a grounding gate before sending. When the answer isn’t there, it says so and offers a human — that’s a feature, not a failure.
What happens when it can’t answer?
Deterministic escalation: your team gets the conversation with the transcript and a CRM task; the customer is told a human is coming. No dead ends.
Which channels are supported?
Instagram, Facebook Messenger and WhatsApp (via Meta), Telegram, and an in-app web chat. New channels land as adapters — the runtime doesn’t care where a message came from.
