// AGENT · BUSINESS DOCS
The Personal Secretary. Ask the paperwork.
// Part of Cognitify Agents.
The Personal Secretary turns company documents — policies, contracts, procedures, handbooks — into answers with the sources attached. It ingests what you already have: batch uploads, SharePoint libraries on a sync schedule, documents from your CRM. Your team asks right in Microsoft Teams, Slack or any other business chat.
Early access · We onboard a few teams at a time · We reply within 1 business day.
Half of every workday is looking for something someone already wrote down.
Policies live in one folder, contracts in another, and the current version of anything — in somebody’s mailbox. People ask each other, wait, and guess; the ones who know become the bottleneck. Search doesn’t help when you don’t know what the file is called.
The Personal Secretary answers the question, not the filename. Grounded in your documents, citing its sources, honest when the docs don’t cover it — and respectful of access: each role gets answers only from content it’s allowed to see.
// what it does
The company memory, answerable.
- 01
Every format you hoard
PDFs, Office documents, scans with OCR. Bulk uploads — 50 files a batch, parsed and indexed in the background with per-file status. No “please convert everything first.”
- 02
SharePoint on a schedule
Sync document libraries from SharePoint, pull in CRM documents, or push files through the API. One pipeline — fetch, parse, chunk, embed — whatever the source.
- 03
Answers with receipts
Every answer is grounded in your documents and arrives with its sources. No source, no claim — when the docs don’t cover it, it says exactly that.
- 04
Access policies built in
Per-agent and per-role retrieval scopes on top of hard tenant isolation. The board folder doesn’t surface in the interns’ answers.
// under the hood
Part of Cognitify Agents — one knowledge base, one transparent balance, one console. OCR-capable document pipeline · SharePoint sync connector · Access policies per role · Hard tenant isolation · Append-only audit trail · BYOAI (Anthropic / OpenAI / Google).
// business cases
Where it earns its keep.
- 01
HR & internal policies
- Vacation rules, expense limits, onboarding steps — self-served, paragraph cited.
- One canonical answer instead of five contradictory recollections.
- HR answers the hard cases; the Personal Secretary handles the rest.
- 02
Contracts & terms
- Payment terms, notice periods, SLAs — pulled with the clause reference.
- Before the call, not after it.
- Scoped access: sales sees terms, not the whole contract folder.
- 03
Ops handbooks
- Procedures and how-tos one question away, for the whole team.
- Fewer “quick questions” to the one person who knows.
- New joiners productive before they’ve met everyone.
// questions
Questions, answered.
- How is this different from “chat with your PDF”?
- Scale and honesty. It ingests thousands of pages across formats (with OCR), syncs sources like SharePoint on a schedule, enforces per-role access to content, cites its sources, and says “the documents don’t cover this” instead of guessing.
- Will confidential documents leak into answers?
- No: access policies scope retrieval per agent and per role, on top of hard tenant isolation and an append-only audit trail.
- Where does our data live?
- Microsoft Azure (EU by default), isolated per tenant at the database level, encrypted in transit and at rest — and never used to train anyone else’s models.
